A great opportunity has arisen to join the bid team of the UK's top transport management consultancy. We are looking for a talented Bids Administrator to help the company win new business by supporting our bid processes on a 12-month maternity cover contract. Reporting to the Head of Marketing & Communications, we are looking for an ambitious degree-educated individual who has strong administration skills and excellent writing skills.
The purpose of this role is to support the company's bidding process by managing bid data, providing bid advice to the business, sourcing appropriate sales leads, supporting e-tendering processes and e-portal submissions and maintaining bid-related company information.
Preferred knowledge and experience
Extensive experience of Microsoft Office Products (Excel, Word, Outlook)
Degree-educated with a preference for individuals with a degree in Business Management
AND/OR
Knowledge of professional services bidding processes
Knowledge of electronic tendering submissions (e-portals)
Knowledge of Agresso and SalesForce systems
Job skills

Key activities
1. Supporting the Bidding Process:
- Issuing EOI, proposal and project numbers for all offices/units
- Logging non-UK proposal data in Agresso
- Verifying EOI, proposal and project data globally
- Duplicating multi-office EOI and proposal data in Agresso
- Setting up new clients in Agresso
- Preparing weekly new business agenda and notes (IBBM)
- Collating 'off-agenda' items for bid/no-bid decisions
- Updating proposal outcomes in Agresso
2. Sourcing Appropriate Sales Leads:
- Setting up new tender portal registration and client alerts
- Monitoring European and North American public tender portals and client alerts
- Reviewing and assessing appropriateness of leads
- Distributing leads to relevant consultants for consideration and managing responses
- Dealing with client and consultant enquires relating to new proposals
3. Supporting E-Tendiring Processes and E-Portal Submissions:
- Training consultants and team support staff to use e-portals
- Supporting consultants with complicated e-tenders
- Submitting significant e-tenders
- Liaising with client procurement teams prior and during submission
- Managing e-tendering account and password information
4. Providing Bid Advice to the Business and Maintaining Bid-related Company Info:
- Updating the ‘Build a Bid’ section on our intranet
- Managing online trade subscriptions
- Maintaining company registrations (e.g. Link-Up, ConstructionLine) to enable
pre-qualification for projects
- Providing advice to consultants completing PQQs and EOIs
- Advising on non-standard corporate questions
- Maintaining framework information
- Collecting client certificates, feedback, testimonials and references
5. Supporting Internal Communication Activities
- Drafting a fortnightly internal newsletter
