About this role

MAIN DUTIES (Sharing with existing Executive Administrator)

To supervise and direct the work of the Junior Administrator.
Coordinate mailings to members and supporters, process donations and receipts.
Respond to requests and queries from members, supporters and general enquirers.

Coordinate and monitor amendments to the contacts database.
Run queries and produce reports from the contacts database as requested.

Collate and record payments made and income received, and to be the first point of contact for the Assistant Treasurer.
Process standing order forms.

Accompany Housing Justice staff to events, if required, and generally participate in raising the profile of Housing Justice.
Be responsible for the preparation and collation of materials for events, organising the float and ensuring that stock is accounted for afterwards.

Work with the Publications & Communications Officer and other Housing Justice staff and with external consultants to maintain and develop the Housing Justice website.

Be responsible for health and safety and (through external contractors) for office equipment, postal services and telecommunications.
Be responsible for the maintenance of proper human resources records for Housing Justice.
In the absence of the Junior Administrator to be responsible for opening the post, telephone answering, receiving callers, dealing with deliveries and other admin duties.

Person description

Essential experience/knowledge/skills:
Excellent IT skills, including familiarity with database packages, MS Office software, ability to use Microsoft Excel
Ability to prioritise tasks to meet a range of deadlines
Willingness to work flexibly, covering for colleagues to maintain the service
Demonstrable experience of dealing with a wide range of contacts
Good literacy and numeracy skills
Highly developed interpersonal skills
Experience and commitment to Equal Opportunities issues

Desirable:
Experience of Harlequin database
Understanding of accounts or bookkeeping
Knowledge and experience of web site maintenance using a content management system.
Experience of working with vulnerable people and an interest in homelessness and housing need issues
Ability to support staff working off site
Demonstrable experience of working without close supervision, as well as the ability to work in a team
