Key Associate School Accountabilities – Juniors, Preps and Pre-Seniors:
• To assist with the processing of applications for the Associate School and Junior School programmes, entering information into the schools’ database and assist with the Prep and Pre-Senior audition process.
• To ensure prompt recording of payments and to chase outstanding fee payments as required.
• To assist with the registration of pupils at the start of each term; meet and greet parents; and oversee the signing in process
• To prepare and maintain the Handbooks for pupils and staff
• To administer mail outs
• To minute Associate School termly staff meetings
• To liaise with parents and uniform supplier regarding uniform as required
• To support the administrative preparation of annual performance opportunities and other one off additional activities
• To liaise with the Finance Department to ensure that on-line payments correspond with enrolments and record all fees
• To assist with writing content for termly newsletters and maintain information boards.
• To maintain and update the relevant sections of the website
• To assist in producing marketing materials, including fliers and resource packs for participants.
• To record and maintain records of students attending WP projects and to track their progression.
Key Accountabilities – Access:
• To assist in the administration for Dance Days, Spring Course, Summer Courses and half-term courses including managing the application process, responding to enquiries, collecting and recording payments; confirming all arrangement with participants and managing the evaluation process
• To produce schedules and manage all logistical arrangements including booking travel and accommodation for staff; booking musicians; arranging per diems for staff and liaising with venues
• To accompany staff on Dance Days if required, meeting and greeting participants, introducing the day and leading the Q&A
• To support the preparation of marketing materials, including fliers and website as well as resource packs for participants
Key Accountabilities – Widening Participation Projects:
• Satellite School – to liaise with primary school regarding weekly classes and to manage numbers in partnership with the school
• Ballet Central On Tour – to support the HWPA in liaising with venue and local schools regarding open dress rehearsal opportunities; school workshops and where necessary arrange travel, accommodation, and organise per diems for staff and students. To produce and distribute schedules for staff and students and project partners, overseeing the distribution and collation of project evaluations and monitoring forms
• To assist in maintaining budgets for all projects as required
• To assist in monitoring those students identified as ‘WP’ and to track their progression
Key Accountabilities – Library (5 hours per week):
• Assist with ensuring that learning resources are accessible to students by helping to run the library system, virtual learning environment (Moodle) and digital resource platforms.
• Assist with developing the school library resources, including ordering new purchases and developing efficient cataloguing systems.
• Assist students in the use of the library, assistive technology and locating research materials.
• Assist the Learning Development Manager and Head of Studies in preparing learning resources for the contextual studies and theoretical curriculum.
• Assist the Learning Development Manager and Head of Studies with administrative tasks related to the contextual curriculum, study support and the degree programmes.
Key Accountabilities – Reception (daily 4-5.30 pm):
• Answer all main switchboard telephone calls;
• Welcome all visitors to the premises, ensuring that they sign-in;
• Set up meeting rooms and provide or organise refreshments as requested;
• Ensure that all students sign-in;
• Deal with enquiries in a friendly, polite and efficient manner;
• Receive deliveries and ensure correct documentation is supplied/completed;
• Update the School’s database and the shared calendar;
• Ensure all notice boards are tidy and kept up to date;
• Ensure reception is tidy and ready for visitors at all times;
• Assist in administrative duties and building issues as requested.
General Accountabilities:
• To support Head of WP and Access in researching and contributing to maintaining relevance of all programmes in-line with Central’s overarching artistic and strategic objectives and developments within the dance sector and national curriculum
• To support implementing new initiatives
• To assist, support and attend events and performances as requested
• To support feedback and the collecting of feedback and data for reporting to funders and other key stakeholders, including the Conservatoire of Dance and Drama and the Office for Students.
• To contribute towards fostering an inspirational and inclusive atmosphere
• To exercise discretion / confidentiality in business, personnel and financial matters externally, particularly regarding press / media and potential competitors
• To undertake other administrative tasks as required, including assisting with reception cover if needed.
• To adhere to School policies, procedures and guidelines
• To assist, support and attend events/performances as requested
• To contribute to the operating values and ethos of the School as determined in its mission statement
Person Specification
ESSENTIAL
• Excellent organisational and administrative skills with a systematic approach and a keen eye for detail
• High standard of written and spoken English
• Excellent time management skills with experience of working on own initiative and the ability to prioritise a varied workload and meet stringent deadlines
• Excellent communication skills with colleagues
• Excellent customer care skills with the ability to engage with a wide range of people across diverse communities – children, young people, parents/guardians, internal and external artistic and academic staff
• Strong IT skills – Word, Excel, Outlook and Access
• Genuine desire and interest to develop a career within the dance sector in an area that particularly supports education, training and the promotion of dance as a creative resource and as an art form across a range of communities
DESIRABLE
• Knowledge of dance training structures and requirements
• Knowledge of the performing arts / dance industry
• Sound understanding of the needs and requirements of children and young people wishing to train towards entering into full time HE dance training versus the use of dance as an educational and creative resource to aid personal development
• Arts / Dance / Administration / Creative Practice qualification

Central’s Junior School for younger dancers continue to attract hundreds of children.
