About this role

Main Duties and Responsibilities

1 PURCHASING

● Maintain the Purchase Ledger on online accounting software.
● Reconcile monthly company cards statements, flagging to and resolving
with the card holder when there are discrepancies.
● Use a company card according to internal policy to make larger
purchases on behalf of the charity.

2 SALES

● Maintain the Sales Ledger on online accounting software.
● Prepare and issue sales invoices, for example for grant claims.
● Handle customer account enquiries and undertake credit control.
● Process, manage and bank income via cheques and cash.
● Reconcile the Walworth Living Room cafe till sales with the Cafe
Manager.
● Monthly reconciliation of all petty cash tins.
● Calculate recharges within the charity, for example photocopier usage
and record these on accounting software.

3 FUNDERS AND DONORS
● Assist the Fundraising and Communications Officer and trustees to
make Gift Aid claims on behalf of the charity.
● Prepare financial claims, monitoring information and invoices to trusts
and foundations in line with grant agreements.

4 NON-CASH ASSET MANAGEMENT
● Maintain the fixed asset register and register of equipment issued to
staff.
● Perform an annual inventory check of fixed assets.

5 OTHER FINANCE TASKS
● Provide timely and accurate finance support to budget holders and
project leads to assist the charity with forecasting, budgeting,
reconciliation and reporting.
● Monitor and act on emails received to the charity’s finance email
address.

● Assist with statutory accounts preparation, annual budget setting,
month end procedures and quarterly management accounts process
under the direction of the Director of Finance and Operations.
● Induct new staff and volunteers in organisational financial systems and
processes

6 OTHER
● Assist the Director of Finance and Operations in carrying out the
Human Resources function as required.
● A commitment to the Equal Opportunities Policy of Pembroke House
● Take part in the life of Pembroke House by mucking in when a team
effort is required to get something done.
● Take part in weekly and monthly meetings of all staff or smaller
project-based teams helping foster effective team-working and a
coherent approach across all our activities.
● Contribute to developing the learning framework for our organisation
as a whole by taking part actively in discussions and learning days.

8 OCCASIONAL DUTIES
● Attend special events organised by Pembroke House which may be
during the evenings or at weekends.
● Attend monthly team meetings held during the evening.
● Complete other tasks commensurate with the level of the role

Person description

Who we’re looking for
The person we appoint to this role will feel confident and enjoy working with
numbers as much as with people. When in the office you will come into contact
with a range of people including residents of all ages and backgrounds.
You will be well organised and able to manage competing demands on your time.
You will have an eye for detail, the drive to see tasks through to completion and be
confident working unsupervised for much of the time.
The role will suit someone who already has some experience in charity finance,
probably at a junior level, and who would like to take on more responsibility. As a
member of a small and enterprising charity you will be ready to muck-in to
support others as required.

Person specification:
● Trustworthy and discrete
● At least 2 years experience of working in a finance role in a charity finance
team
● Minimum AAT Level 3 bookkeeping qualification or equivalent and 5 GCSEs
or equivalent including English and Maths
● Proficient with office and finance-based ICT tools including Microsoft Excel
and accounting software such as Sage 50 or QuickBooks
● Comfortable working with new software and applications as the
organisations develops
● Excellent communication skills, especially to explain financial concepts to
non-financial managers
● Able to be firm and ensure that the finance procedures of the charity are
adhered to
● Able to work quickly, with meticulous attention to detail and to deadlines
● Able to prioritise a changing and competing to do list
● Experience of managing small budgets (up to £5,000)

About Pembroke House

Pembroke House

Pembroke House is a centre for social action and residential community in
Walworth, south-east London.
We were founded in 1885, by students from Pembroke College, Cambridge, as one
of the first settlement houses. Shocked by growing poverty and inequality, the
pioneers of the settlement movement sought a new approach; taking up residence
to live, work and solve problems alongside local communities.
For over 130 years, we’ve been working to bridge traditional divides and unite
people – whatever their background or walk of life – in building a better Walworth.
Our income comes from grants, contracts, donations, investments and trading
(room hire and cafe).

Workstream responsibility

Pembroke House’s work is organised around five key streams. The Finance Officer
will work within the Enablers workstream, supporting budget holders to manage
the financial health of the charity.

Creating local connections and relationships through the social space of the Walworth Living Room.

Activities and programmes that provide opportunities for residents to try new thing and learn together.
